REFUND & CANCELLATION POLICY

At The Health Oasis, we understand that circumstances change. This comprehensive policy outlines our approach to cancellations, rescheduling, and refunds across all our services.

1. Individual Therapeutic Services

48-Hour Notice Policy:

  • Cancellations made 48+ hours in advance: Full refund or free rescheduling
  • Cancellations made 24-48 hours in advance: 50% refund or rescheduling fee applies
  • Cancellations made less than 24 hours: No refund, rescheduling at discretion

Emergency Exceptions:

  • Medical emergencies (with documentation): Full refund
  • Family emergencies: Case-by-case consideration
  • Weather-related cancellations: Full rescheduling option

2. Yoga Sessions

Class Cancellations:

  • Group Classes: 12-hour notice required for refund
  • Private Sessions: 24-hour notice required for full refund
  • Package Deals: Individual session rules apply to each booking

Instructor Cancellations:

  • Full refund or complimentary makeup session offered
  • Substitute instructor may be provided with your consent

3. Corporate Wellbeing Workshops

Advance Notice Requirements:

  • 30+ days notice: Full refund minus 10% administrative fee
  • 14-30 days notice: 75% refund
  • 7-14 days notice: 50% refund
  • Less than 7 days: 25% refund

Force Majeure Events:

  • Natural disasters, government restrictions: Full refund or rescheduling
  • Venue unavailability: Alternative arrangements or full refund

Customization Fees:

  • Non-refundable after development work begins
  • Materials and preparation costs may be deducted

4. Heal & Growth Retreats

Tiered Cancellation Policy:

  • 60+ days before retreat: Full refund minus $200 administrative fee
  • 31-60 days: 75% refund
  • 15-30 days: 50% refund
  • Less than 15 days: 25% refund
  • No-show: No refund

Special Circumstances:

  • Medical emergencies (with doctor’s note): 75% refund regardless of timing
  • Travel restrictions: Credit toward future retreat
  • Retreat cancellation by us: Full refund including travel costs (up to $500)

Transfer Policy:

  • Transfer to another person: Allowed up to 30 days before retreat
  • Transfer to future retreat: $100 fee applies

5. Package Deals and Memberships

Multi-Session Packages:

  • Unused sessions refundable pro-rata minus 15% processing fee
  • 90-day expiration policy applies
  • Pause options available for medical reasons

Membership Cancellations:

  • 30-day notice required
  • No refund for partial months
  • Pause options for temporary circumstances

6. Payment Processing

Refund Timeline:

  • Credit card refunds: 5-10 business days
  • Bank transfers: 7-14 business days
  • PayPal: 3-5 business days

Processing Fees:

  • Original processing fees non-refundable
  • Refund processing fees may apply for credit card chargebacks

7. No-Show Policy

Consequences:

  • Session marked as completed, no refund issued
  • Future bookings may require prepayment
  • Repeated no-shows may result in service suspension

Grace Period:

  • 15-minute grace period for individual sessions
  • Group sessions start promptly, late entry may be restricted

8. Weather and External Factors

Severe Weather:

  • In-person sessions: Full rescheduling option
  • Outdoor activities: Alternative indoor options or refund
  • Client travel difficulties: Rescheduling without penalty

Technology Issues:

  • Our technical problems: Full refund or makeup session
  • Client technical issues: Limited make-up options

9. Special Promotions and Discounts

Promotional Offers:

  • May have different cancellation terms (clearly stated at purchase)
  • Generally non-refundable or limited refund options
  • Cannot be combined with other offers

Gift Certificates:

  • Follow standard cancellation policies
  • Non-refundable but transferable
  • Extended expiration for gift recipients

10. Dispute Resolution

Process:

  1. Contact our customer service team within 30 days
  2. Provide relevant documentation
  3. Allow 5-7 business days for review
  4. Appeal process available if initial decision disputed
